    What we collect, why, who we share it with, and how to ask us to see or delete it.

    Who we are

    Neato Ventures, LLC is a Texas limited liability company (“Neato Ventures,” “we,” “us”). Our mailing address is 2214 Reed Cave Ln, Spring, TX 77386. For privacy questions, email privacy@neatoventures.com. For anything else, email hello@neatoventures.com.

    What this policy covers

    This policy applies to:

    • our website, neatoventures.com;
    • our software: Neato_Frontline, Neato_Council, and Neato_Prompt (neatoprompt.com), including the apps on their own domains that link here;
    • our hardware, Neato Orbit and Neato Glass-AR (coming soon); and
    • emails, texts and other communications between you and us.

    When a business uses our software to handle calls, texts or meetings, that business decides what happens to its callers' and participants' data. See Data we process for our customers. Our Security & your data page summarizes each product in plain English.

    What we collect

    Website visitors

    • Device and usage data: IP address, browser and device type, pages viewed, referring page, and clicks. PostHog collects this for analytics, including session replays with every form input masked.
    • Advertising data: Meta Pixel records page views and form submissions so we can measure our ads.
    • Server logs: Netlify, which hosts the site, keeps standard request logs.
    • Live demo calls: if you talk to the Neato_Frontline demo in your browser, your voice is processed in real time to run the conversation, and the call is transcribed and may be recorded. We tell you this before the call starts, and nothing is captured unless you choose to start it.

    Contact and lead forms

    When you fill in a form, we collect what you enter: typically your name, email, company, subject and message. Submissions are emailed to our sales team and stored in our customer relationship management (CRM) system.

    Account holders

    • Account details: name, email, password (stored as a hash, or handled by our sign-in provider), plan and billing status.
    • Payment details: Stripe collects card details on its own pages. We never see or store your full card number.
    • Content you provide: agent instructions, personas, uploaded documents, imported web pages, task descriptions, interview answers, and prompts you generate.
    • Integration details: credentials and settings for services you connect, such as a calendar, phone carrier, webhook or your own AI provider key.
    • Usage data: product events such as sign-ups, feature use and upgrades, and error reports. Neato_Prompt analytics events do not include prompt text.

    Hardware

    Neato Orbit and Neato Glass-AR will come with product-specific privacy information describing what the device collects and where it goes. We will update this policy before those devices collect any personal information.

    Data we process for our customers

    Businesses use our software to talk with their own callers, customers and meeting participants. For that data, the business is responsible for how it is collected and used, and we process it on the business's behalf and under its instructions. If you called or met with a business that uses our software, contact that business first about your data. We will help it respond.

    Neato_Frontline (calls and texts)

    • Caller and dialed phone numbers, call times and call status.
    • Live call audio, which is processed in real time to run the conversation.
    • Call transcripts, summaries, scores and the details the agent was set up to collect (for example a name, email or appointment time).
    • Call recordings, only if the business turns recording on. Recording is off by default.
    • Text messages sent and received, and opt-in and opt-out records.

    Neato_Council (meetings)

    • Meeting links, meeting audio and video, and what participants say.
    • Meeting recordings, transcripts, summaries and the memories the persona keeps.

    How we use information

    • To provide, run and support our products, including the features a customer turns on.
    • To answer inquiries, send quotes and follow up on a demo or sales request.
    • To bill for subscriptions and orders.
    • To send account, security and service emails, and, where allowed, product updates you can opt out of.
    • To understand how the website and products are used, fix errors, and improve them.
    • To measure whether our ads lead to visits and form submissions.
    • To keep our services secure, prevent abuse, and meet legal obligations.

    We do not sell personal information. We do not train AI models on customer calls, meetings, documents or prompts.

    Sharing and service providers

    We share personal information with the service providers below, only as needed to run our business and products. Each receives only the data its job requires.

    Website and sales

    • Netlify: hosts neatoventures.com and receives form submissions.
    • PostHog: website and product analytics, including masked session replay.
    • Meta: advertising measurement through the Meta Pixel.
    • Twenty CRM: our self-hosted CRM, which stores inquiries and sales contacts.
    • Email providers: deliver form submissions to our sales team and send our replies.

    Hosting and infrastructure

    • DigitalOcean: hosts the Neato-operated servers for Neato_Frontline (New York region) and Neato_Council.
    • Vercel: serves the Neato_Prompt web app.
    • Supabase: sign-in for Neato_Council and Neato_Prompt, and the Neato_Prompt database.

    AI providers

    • Google (Gemini): live voice conversations in Neato_Frontline and Neato_Council; post-call analysis on Frontline accounts set to Gemini; prompt generation in Neato_Prompt.
    • OpenAI: document search embeddings in Neato_Frontline and Neato_Council; post-call analysis on Frontline accounts set to OpenAI.
    • Anthropic (Claude): meeting summaries, memory questions and speaking decisions in Neato_Council.

    Each AI provider's own data-use terms apply to the audio and text we send it.

    Product services

    • Twilio: phone calls and text messages for Neato_Frontline.
    • MeetingBaaS: the bot that joins meetings for Neato_Council, and the meeting recordings it holds.
    • Nylas: calendar connections for Neato_Frontline, when a customer connects a calendar.
    • Stripe: subscriptions and payments.
    • Resend: account, booking confirmation and summary emails.
    • Sentry: error reports from the Neato_Prompt web app.
    • Firecrawl: reads a web page when a Neato_Council user imports one.
    • Customer-connected systems: webhooks, APIs and tools a customer configures receive the data that customer chooses to send them.

    Other disclosures

    • When the law, a court order or a valid legal process requires it.
    • To protect the rights, safety or property of Neato Ventures, our customers or others.
    • As part of a merger, acquisition or sale of assets, with notice to you.
    • With your permission.

    Text messages (SMS)

    Neato_Frontline sends text messages on behalf of businesses. A recipient must first agree to receive messages by replying to an initial opt-in text. By opting in, you agree to receive messages from that business.

    • Message frequency varies.
    • Message and data rates may apply.
    • Reply STOP to opt out at any time. Reply HELP for help.
    • Consent to receive texts is not a condition of any purchase.
    • We do not sell, rent or share mobile phone numbers or SMS opt-in data with third parties or affiliates for their marketing or promotional purposes. We share them only with the providers that deliver the messages, such as Twilio.

    Cookies, analytics and ads

    We and our providers use cookies, local storage and similar technologies to:

    • keep you signed in to our apps;
    • measure visits and product use with PostHog, including session replays with every form input masked; and
    • measure ad performance with the Meta Pixel.

    On our website, PostHog and the Meta Pixel are off until you choose. They load only after you press Accept in the cookie notice, and not at all if you press Decline. Declining never limits what you can do on the site.

    To change or limit this tracking:

    • press Privacy choices at the bottom of any page to change your answer at any time;
    • turn on Global Privacy Control or Do Not Track in your browser, and neither loads, whatever you chose before;
    • block or delete cookies in your browser settings, or use a content or tracker blocker;
    • change your ad settings in your Facebook or Instagram account under Ad Preferences, or opt out of interest-based ads through the Digital Advertising Alliance at optout.aboutads.info.

    Signing in to our apps requires cookies; blocking them will stop sign-in from working.

    How long we keep data

    • Customer data (calls, transcripts, recordings, meetings, memory, documents, prompts) is kept until the customer deletes it or asks us to. Customers control how long their data is kept.
    • Account data is kept while the account is open, and deleted when you ask us to close it, except what we must keep for legal, tax or accounting reasons.
    • Inquiries and sales records are kept in our CRM while we have a business relationship, or until you ask us to delete them.
    • Analytics data is kept for the periods set by PostHog and Meta.

    Security

    We protect data with encrypted connections (HTTPS), hashed passwords, per-account separation of records, firewalls that close database ports to the internet, and payment pages hosted by Stripe. No system is perfectly secure, and we cannot guarantee that data will never be accessed without permission. If a breach affects your personal information, we will notify you as the law requires.

    We hold no third-party security certification. Neato_Frontline is not HIPAA compliant, and we do not sign business associate agreements at this time. Do not use our products for protected health information.

    Your choices and rights

    Depending on where you live, you may have the right to:

    • confirm whether we process your personal information and get a copy of it;
    • correct information that is wrong;
    • delete personal information you provided or we collected about you;
    • get your data in a portable format;
    • opt out of targeted advertising, the sale of personal information, and profiling that produces legal or similarly significant effects (we do not sell personal information); and
    • appeal our decision if we decline your request.

    Texas residents have these rights under the Texas Data Privacy and Security Act. Residents of California, Colorado, Connecticut, Virginia and other states with privacy laws have similar rights.

    How to make a request

    Email privacy@neatoventures.com with the subject “Privacy request” and tell us what you want us to do. We will verify your identity, usually by confirming the email or phone number linked to your data, and respond within 45 days. If we need more time, we will tell you why. An authorized agent may make a request for you with your signed permission.

    If we deny your request, reply to our decision to appeal. We will answer your appeal within 60 days. If you are unhappy with the result, you can contact the Texas Attorney General or your state's attorney general.

    We will not treat you differently for exercising your rights.

    Marketing emails and texts

    Use the unsubscribe link in any marketing email, or reply STOP to any text. We will still send messages about your account and orders.

    If your data came to us through a business that uses our software (for example, you called its phone line), send your request to that business. We will help it respond.

    Children

    Our website and products are not for children under 13, and we do not knowingly collect personal information from them. If you believe a child under 13 has given us personal information, email privacy@neatoventures.com and we will delete it.

    Changes to this policy

    We will update this policy as our products change. The date at the top shows the latest version. If we make a material change, we will notify account holders by email or in the product before it takes effect.
